Data Hygiene Volunteer
The Data Hygiene Volunteer supports the Resource Development (RD) team with a focused, time-limited data clean-up project that strengthens the accuracy and consistency of our donor and supporter records. Working with the Director of Development and Database Specialist, this volunteer will assist with data entry, record review, and Customer Relationship Management (CRM) database clean-up projects that help the Giving Team maintain reliable information for donor stewardship, campaign outreach, reporting, and relationship-centered fundraising. This role is a great fit for someone who enjoys detail-oriented work, organized systems, and behind-the-scenes projects that help a mission-driven team work more effectively. Because donor and supporter information is confidential, this volunteer will be expected to follow Solid Ground’s data privacy practices and handle all information with care and discretion.
Key Responsibilities
- Review and clean donor and supporter records in Solid Ground’s fundraising CRM database.
- Support email address and mailing address clean-up, including identifying outdated, duplicated, incomplete, or invalid records.
- Assist with duplicate records review and basic record updates.
- Review saved queries, lists, or reports and help catalog their purpose, owner, and current usefulness.
- Support workflow automation review by documenting active workflows and flagging items that may need staff review.
- Help organize an RD data hygiene schedule to support ongoing clean-up routines.
- Document questions, inconsistencies, and recommended follow-up items for staff review.
- Support other time-limited data entry or data quality projects as assigned.
- Willingness and ability to work with people from a variety of racial, cultural, and economic backgrounds, with various lifestyles, sexual orientations, and of all ages.
Project Scope
This role is designed as a focused 6-week volunteer opportunity. A sample project flow may include:
Week 1: Orientation & Training
Meet with the Director of Development and Database Specialist, review confidentiality expectations, receive CRM training, and learn the specific clean-up priorities for the project.
Weeks 2–3: Data Review & Clean-up
Begin assigned data hygiene projects, such as email clean-up, duplicate review, query cataloging, or record updates.
Weeks 4–5: Documentation & Follow-up
Continue clean-up work while documenting patterns, questions, and recommendations for future review.
Week 6: Wrap-up & Handoff
Complete final updates, share notes with staff, and help identify next steps for ongoing data hygiene.
Desired Qualifications
- Must be age 18 or older.
- Experience with data entry, database work, CRM systems, spreadsheets, or similar administrative systems.
- Strong attention to detail and comfort reviewing records for accuracy and consistency.
- Ability to follow instructions, use established data standards, and ask clarifying questions when needed.
- Comfort working independently on focused projects.
- Commitment to confidentiality and responsible handling of donor and supporter information.
- Willingness and ability to work with people from a variety of racial, cultural, and economic backgrounds, with various lifestyles, sexual orientations, and of all ages.
- Interest in supporting Solid Ground’s mission to end poverty and undo racism and other oppressions.
